Our HR Advisor will be leaving in April to start her Maternity Leave. We are therefore looking for a new temporary colleague to join our team for approximately 1 year from the beginning of March 2019 . This will enable a settling in and suitable hand over period for the successful candidate. In HR we are a team of 3 and our priority is to look after all our colleagues and help to make everyday a good day in this fast paced 24/7 chilled food manufacturing business.

The responsibilities of the role are what you would expect – advising & supporting leaders / payroll /admin duties / selection & recruitment / colleague communications; so relevant HR qualifications, previous knowledge and experience is required. This role though is all about having the right attitude and a real understanding of people. Our V`s and B`s are very important to us therefore we are looking for a colleague who is self-motivated / keen to challenge and keep improving and very importantly, really enjoys working in a team and making things happen. All support functions are based in an open plan office, so we are all part of the day to day running of the business as well as planning for our company`s future. There are always opportunities to work across teams on improvement projects or when there are fun site events to arrange.

Key Objectives:

Maintain and publish key HR metrics

Ensure HR systems and colleague files are audit ready

To support and advise site Leaders in all people related issues

Work with the HRBP to seek an empowered site leadership team

Proactively help create an engaged workforce

Challenge the norm. Self-motivate to innovate and see through change projects

Qualifications & Skills

Minimum CIPD Level 5 or equivalent

IT Intermediate Level

Hours of Work:  Monday – Friday      08.30hrs – 17.00hrs. Flexibility required.

Receptionist reports into this position

Main Responsibilities:

Payroll

  • Complete the payroll process for all hourly and salaried colleagues liaising closely with site leaders and central finance

Administration

  • Maintain TENSOR T&A & personnel system for all colleagues on the Elm site ensuring all information is current
  • Create and maintain HR SOPs as required. Communicate and train out as appropriate
  • Ensure notice boards are up to date
  • Responsible for FMTV (Canteen TV colleague information system) and the usage as an active communication tool
  • Maintain and communicate appropriately HR KPI information
  • Responsible for the administration of Childcare vouchers & HR Purchase Order process

 

Compliance

  • All colleague files are current and audit ready
  • Create implement & maintain appropriate locker allocation & locker search procedure
  • Any other duties as required
  • Support HRBP in customer audits
  • Complete Temporary agency annual audits to ensure legal and ethical compliance

 

Recruitment and Selection

  • Administration support from advert to offer for all hourly and monthly salaried colleagues
  • Support the HRBP and Leaders in all other recruitment as required
  • Carry out the site HR induction
  • Act as gatekeeper for all colleague probation reviews ensuring timely completion and any concerns are addressed
  • Support the leaders in the induction process for all colleagues
  • Support and assist the Leaders with the onboarding process and the buddy system and training programmes for hourly colleagues

 

Employee Engagement and Involvement

  • Active member of the site colleague forum
  • Gatekeeper of the site communication briefings
  • Implement `make it happen, make it fun` events on site e.g Christmas activities
  • Administrator & organiser of the colleague Loyalty award process

 

Employee Relations

  • Manage the running of the Reception including the administrative duties of the Receptionist
  • Management of colleague Occupational Health process
  • Ensure HR policies on the Elm site are the current versions for both colleagues and leaders
  • Support site leaders in the disciplinary and grievance process providing accurate and appropriate advice and administration support when required up to and including dismissal
  • Act as a mediator to prevent / resolve colleague conflict
  • Absence Management – Support the Leaders in ensuring consistency of process

 

Learning and Development

  • Support the HRBP in any learning and development activities
  • Ensure continual own personal development
  • Work with and support the leaders ensuring hourly colleague APA`s is a process that is `live` and not an administration duty
