Purpose of the role
The role supports the Engineering Administrator in keeping the weekly engineering budget updated and reporting any potential overspending or underspending. It also involves maintaining stock levels in the engineering stores, ordering necessary parts, and raising purchase orders for maintenance contracts and related work. The role includes liaising with the Forklift Maintenance contractor and site supervision to ensure the fleet is well-maintained, organising maintenance and engineering paperwork, and preparing Planned Preventative Maintenance work for the team.
Additionally, the role is responsible for general administrative tasks to support the smooth running of the engineering department.
What you’ll be doing:
These are the things you’ll be responsible and accountable for, and some of the tasks you’ll need to carry out
Stock & Purchasing – Track stock and parts daily, raise purchase orders, match them to deliveries, and keep records up to date.
Maintenance & Documentation – Print and log Planned Preventative Maintenance (PPM) work, ensure technical data is updated, and keep all engineering paperwork organised.
Supplier & Contractor Liaison – Build great relationships with suppliers, check goods on arrival, expedite outstanding orders, and maintain supplier records.
Budget & Finance Support – Update budget spreadsheets, assist with finance audits, and ensure all work and purchases are properly quoted and approved.
General Admin & Site Support – Order PPE, manage supplier databases, support KPI tracking, handle occasional reception duties, and assist in identifying improvement opportunities.
Be proactive, stay organised, and bring a keen eye for detail to help keep our engineering department running smoothly!
What you’ll have:
This is the specific experience, qualifications and skills that we’re looking for:
Qualifications, ideally, you’ll be educated and proficient in math’s and English or something similar.
Experience – if you’ve got plenty of relevant administration experience, then we’d love to hear from you
